HSA/FSA Reimbursement

Your HSA/FSA benefits may be eligible for therapeutic massage. The Bodywork Boutique can provide detailed paid invoices with applicable provider information for clients seeking reimbursement through their benefits administrator.

STEP 1 — Verify Your Benefits

Before your appointment, contact your HSA/FSA administrator or log into your benefits portal and ask whether massage therapy prescribed or recommended for treatment of a medical condition is eligible for reimbursement under your specific plan.

You may want to ask:

“Does my plan reimburse massage therapy when it is being used to treat or manage a medical condition, and what documentation is required?”

Specifically, confirm whether your plan requires:

• A detailed paid invoice or receipt
• Provider information and NPI
• A diagnosis or medical condition
• A Letter of Medical Necessity (LMN)
• A prescription or referral from a healthcare provider
• Any additional claim or reimbursement form

Requirements vary between plans, so your benefits administrator is the best source for determining exactly what you will need.

STEP 2 — Determine Whether You Need a Letter of Medical Necessity

Massage received solely for general wellness, relaxation, or personal enjoyment may not qualify as an eligible medical expense.

When massage therapy is being used to treat or alleviate a specific medical condition, your benefits administrator may require a Letter of Medical Necessity (LMN) from a physician or other qualified healthcare provider.

An LMN generally identifies the medical condition being treated and explains why massage therapy is medically necessary or recommended as part of its treatment.

Examples may include massage used as part of the treatment or management of certain musculoskeletal conditions, injuries, pain, or other qualifying medical conditions.

Your benefits administrator determines whether an LMN is required and whether the expense ultimately qualifies for reimbursement.

The Bodywork Boutique does not issue Letters of Medical Necessity or determine whether a client's medical condition qualifies for HSA/FSA reimbursement.

STEP 5 — Submit Your Reimbursement Request

Once you have received your paid invoice, log into your HSA/FSA administrator's website or mobile app.

Look for an option such as:

Submit a Claim
Request Reimbursement
Reimburse Myself
or
Submit an Expense

Enter the information requested using the information shown on your paid invoice.

Upload the detailed invoice from The Bodywork Boutique along with any additional documentation your plan requires, such as your Letter of Medical Necessity.

Then submit the request directly to your benefits administrator.

STEP 6 — Your Benefits Administrator Reviews Your Request

Your HSA/FSA administrator is responsible for determining whether the expense meets the requirements of your particular plan.

They may:

• Approve the reimbursement
• Request additional documentation
• Ask for clarification regarding the service or provider
• Require a Letter of Medical Necessity
• Determine that the expense is not eligible under your plan

If your administrator requests additional provider or invoice information, please contact The Bodywork Boutique and we will assist with applicable documentation regarding the services you received.

Questions concerning your diagnosis, medical necessity, prescription, referral, or eligibility should be directed to your healthcare provider and/or benefits administrator.

Already Had Your Appointment?

You can still contact The Bodywork Boutique to request a detailed paid invoice for a previous qualifying appointment.

Once received, follow your HSA/FSA administrator's instructions for submitting the expense for reimbursement.

Be sure to check your plan's deadlines for submitting expenses, particularly if you are using an FSA.

Important Information

Providing a detailed invoice, NPI, tax information, or other provider documentation does not guarantee that a massage therapy service qualifies for HSA/FSA reimbursement.

Eligibility depends on factors that may include the purpose of treatment, your medical circumstances, applicable tax rules, your specific benefit plan, and the documentation required by your plan administrator.

The Bodywork Boutique does not determine HSA/FSA eligibility, provide tax advice, diagnose medical conditions for reimbursement purposes, or guarantee approval of any claim.

Have questions about obtaining your paid invoice?

Contact The Bodywork Boutique and we will be happy to provide the appropriate documentation for services you have received.

STEP 3 — Attend & Pay for Your Appointment

Appointments at The Bodywork Boutique are paid for at the time of service as usual.

The Bodywork Boutique does not submit claims to your HSA/FSA administrator or bill your benefits plan directly.

Instead, you will pay for your appointment and then request reimbursement from your plan using the documentation provided to you.

STEP 4 — Request Your Detailed Paid Invoice

After your appointment and payment have been completed, you may request a detailed paid invoice for HSA/FSA reimbursement purposes.

Your invoice can include applicable information such as:

• Client name
• Date of service
• Description of service
• Amount charged
• Amount paid
• Payment status
• Provider/business information
• Licensed Massage Therapist information
• National Provider Identifier (NPI)
• Applicable tax identification information

This detailed invoice provides significantly more information than a standard credit-card or payment receipt and should be the document you submit when your benefits administrator requests proof of the service and payment.
